Final Steering Group Meeting

An intense final sprint is coming to an end, and we will need one final steering group meeting before the project report can be compiled. We will have to pass votes on a few topics.

This is a steering group meeting, so it would be nice if at least one administrative person from each partner could make it. It will take place at the usual Teams link. Of course our content experts (in CC:) who have worked on the content are also very welcome, but don't feel obliged to join if you have other things planned.

Everybody, please make sure your institution's experts have updated their timesheets to reflect the last work phase for the project results. Here are a few guidelines to help you:

  • Everybody is responsible for their own timesheets.
  • You cannot enter anything after July 31, the official end date of the project. All work performed after that date will be voluntary.
  • Guidelines for result work time during TPMs:
    - If you had one overnight stay at the TPM: write up 4hrs of result work on the day of arrival, then 4hrs work on second day.
    - Two overnight stays: one extra 8hr work period on the third day.
    - The dates of the TPMs are listed here under [1] at the end.
  • Please get the dates of TPMs and group online activities right.
  • Make sure you do not include time spent in steering group meetings, those are not eligible (covered by the administration flat fee).
  • Please declare openly and transparently if you have not been able to deliver the full amount of workdays, so that the funds can be re-distributed to those partners who may have performed in excess of their allotted work share.
  • Please submit your updated timesheets ASAP.

Also, we need to wrap up the TPM documentation:

  • Please submit at least one travel document per TPM as proof of attendance (flight or train tickets or hotel invoice, etc.).

If you have nice photos or other documentation of our communal events (work meetings, TPMs, MEs), please contribute them to Teams and send us a mail about it.

Item 1, Signing off on and commitment to further disseminate our project results (vote)

All partners should have reviewed the final reports of WG1 [2], WG2 [3], and WG3 ([4], the database), and be able to declare their unconditional
endorsement of our results before going public, and we should all commit to continue dissemination of the results and work towards project success even after the end of the funding period.

Item 2, TPM budget reallocation (vote)

Unclaimed TPM budget should be re-allocated to partners who might have accrued travel costs beyond their original budget due to extra activity.

Item 3, Project results budget reallocation (vote)

As said above, we should reshuffle any unclaimed budget from partners who have slightly under-performed to partners who have delivered in excess of their budget.

Item 4, Multiplier event budget reallocation (vote)

Unclaimed ME budget can partly be re-assigned to project results as per the funding rules. If partners still have uncovered project time claims after the previous reshuffle, this could be the solution.
